DoggieMail Privacy Policy

DoggieMail is a private Discord bot used within a single community server. This policy explains what data it handles and why.
What we collect
- Message content in modmail tickets and, where enabled, public channels, used to relay support conversations and run moderation checks.
- User identifiers (Discord user ID, username, display name) and server role membership, used to route tickets and verify staff permissions.
- Message metadata (message ID, channel ID, timestamps, counts) for ticket transcripts and moderation context.
How we use it
- Operate the modmail ticket system (relaying messages between members and staff).
- Generate ticket transcripts for staff reference.
- Run automated moderation to flag rule-breaking messages to moderators.
- Remove messages whose links fail to load a preview.
Sharing
Data is not sold or shared with third parties. Message content may be processed by AI providers solely to power moderation and assistant features. Access is limited to server staff and the bot operator.
Retention
Data is kept only as long as needed to run the bot's features and is stored on the operator's private server. Users may request deletion of their stored data by contacting server staff.
